QR Code Scanning
Some schools and companies require QR code verification at the end of routes. This guide explains the QR code scanning process for drivers.
What is QR Code Verification?
QR code verification is a safety feature:
- A QR code is attached to your vehicle
- At route end, you scan the code
- Confirms you've checked the vehicle
- Ensures no passengers are left behind
When QR Scanning is Required
QR scanning is required when:
- Your school/company has enabled this feature
- You finish a pickup route (arrived at school)
- You finish a drop-off route (completed all stops)
Not all routes require QR scanning. It depends on your organization's settings.
QR Scanning Process
Step 1: Complete Route Actions
Before QR scanning:
- Finish all passenger pickups/drop-offs
- Tap the Finish button
- Confirm you want to complete the route
Step 2: QR Scanner Appears
If QR verification is required:
- Route status changes to "QR Code Required"
- Camera view opens automatically
- Instructions appear at the top of the screen
Step 3: Check the Vehicle
Before scanning:
- Check all seats - Ensure no passengers remain
- Check under seats - Look for belongings
- Check all rows - Walk through the vehicle
- Verify empty - Confirm everyone has exited
Step 4: Locate and Scan the QR Code
- Find the QR code attached to your vehicle
- Position your camera to see the QR code
- Hold steady until it scans
- The app automatically recognizes the code
Step 5: Route Completes
After successful scan:
- Route status changes to "Completed"
- Location tracking stops
- You're returned to the route list
- QR scan is logged in the system
QR Code Location
The QR code is typically:
- Attached to the vehicle interior
- At the rear or exit area
- Clearly visible and accessible
- Placed by your administrator
If you can't find the QR code, contact your administrator.
Camera Requirements
For QR scanning:
- Camera permission must be granted
- Camera should be clean
- Good lighting helps
- Hold phone 6-12 inches from code
What the Screen Shows
During QR scanning:
| Element | Description |
|---|---|
| Camera view | Full-screen camera feed |
| Instructions | Text explaining to check seats and scan |
| Frame guide | May show where to position QR code |
Instruction Message
You'll see something like:
"Check vehicle seats and scan the attached QR code"
This reminds you of the safety check before scanning.
If QR Scanning Isn't Required
For routes without QR verification:
- Tap Finish to complete the route
- Confirm when prompted
- Route completes immediately
- No camera view appears
Troubleshooting QR Scanning
"Camera not opening"
- Check camera permission is granted
- Go to device Settings > Apps > RouteBot > Permissions
- Enable Camera permission
- Return to the app and try again
"QR code not scanning"
- Clean the camera lens
- Ensure good lighting
- Hold phone steadier
- Move closer or farther from code
- Make sure QR code isn't damaged
"Wrong QR code"
- The system validates the code
- Use only the official vehicle QR code
- Random QR codes won't work
- Contact admin if code seems wrong
"Camera is black/frozen"
- Another app may be using camera
- Close other camera apps
- Restart the RouteBot app
- Restart phone if necessary
"Accidentally left QR screen"
- The route may still be pending
- Navigate back to complete
- Contact admin if stuck
Why QR Verification Matters
Safety Purposes
- Ensures you check all seats
- Prevents leaving passengers behind
- Creates verification record
- Required by some regulations
Accountability
- Proves you completed the check
- Timestamped in the system
- Part of route completion log
- Required by some organizations
Best Practices
Before Scanning
Always perform a thorough check:
- Walk through entire vehicle
- Check every seat, front to back
- Look under seats
- Check for sleeping passengers
- Verify all doors were used
Scanning
- Have phone ready before checking
- Know where your QR code is located
- Scan promptly after checking
- Report any QR code issues
After Scanning
- Verify route shows as completed
- Report any issues immediately
- Note any concerns for admin
Routes Without QR Requirement
If your school/company doesn't use QR:
- Routes complete when you tap Finish
- No camera view appears
- Safety checks are still recommended
- Process is faster but check anyway
Permission Setup
Camera permission must be granted:
- When first required, app prompts for permission
- Tap Allow or OK
- Permission persists for future use
- Can be managed in device settings
See Driver Permissions for full permission details.
